Notes and terms

Using this template

01

Itemise food per guest, staffing and rentals separately

Clients and venue coordinators need clear breakdowns for event budgeting. List menu packages with the guest count in the quantity column and per-person cost in the rate column, followed by service staff hours and any table, linen or glassware rentals.

02

Guest count deadlines and payment milestones

State when the final head count must be confirmed before the event date, and outline deposit requirements. The editor lets you split the total into a booking deposit and final balance due after service.

Frequently asked questions

How do I bill per-person menus on this catering template?

Type the number of guests in the quantity column and the per-head price in the unit price column. The line total is worked out automatically as guests multiplied by price.

Can I include rental equipment and service staff on the same bill?

Yes. Add extra lines for server or bartender hours and equipment rentals. Each line calculates its own total and adds to the event subtotal.

Does Invoices.tools tell me which tax rate to charge?

No. The site never fills in or suggests a rate. You type the name of the tax and the percentage your business uses, and the site does the arithmetic. If you are not sure what to charge or what your invoices must show, ask an accountant or your tax office.

Where is my data stored?

Only in your browser. The document on screen, the drafts you save, your saved clients and items, and the list of invoices you downloaded are kept in this browser’s local storage, and the PDF is drawn on your device. Nothing is uploaded, and you can clear everything from the Drafts panel.
