Notes and terms

Using this template

Separate labor from materials

Clients and their insurers often want to see what was labor and what was material. Put hours of labor as one line (hours in quantity, hourly rate in unit cost) and each material or batch of materials as another. If you mark up materials, decide whether the line shows cost or your price, and be consistent.

Deposits and progress payments

If the client paid a deposit, enter it in “Amount already paid”: the invoice shows the total, the deposit and the balance due. For staged jobs, make one invoice per stage and name the stage in the Job / site field.

Frequently asked questions

How do I show a deposit on a contractor invoice?

Enter the deposit in “Amount already paid”. The invoice lists the full total, subtracts the deposit and shows the balance due in the coloured bar.

Can I make the estimate first?

Yes. Open the quote generator with the same template, send the estimate, and when the job is done switch it to an invoice.

Does Invoices.tools tell me which tax rate to charge?

No. The site never fills in or suggests a rate. You type the name of the tax and the percentage your business uses, and the site does the arithmetic. If you are not sure what to charge or what your invoices must show, ask an accountant or your tax office.

Where is my data stored?

Only in your browser. The document on screen and the drafts you save are kept in this browser’s local storage, and the PDF is drawn on your device. Nothing is uploaded, and you can clear everything from the Drafts panel.
