Writing a quote clients can say yes to

Quote or estimate: which word to use

People use both words for the same document: a priced list of work sent before the work is done. Many businesses call it a quote when the price is fixed and an estimate when the final amount may change with the actual hours or materials. Whatever you call it, say so in the terms, for example “Fixed price for the scope above” or “Estimate; final invoice based on hours worked”.

What a clear quote includes

A quote number and date, your details and the client’s, a description of the scope precise enough that both sides agree on what is and is not included, the price of each part, any discount and tax, and a “valid until” date after which the price can be reviewed.

Add the terms that matter for the job: deposit, payment schedule, how changes to the scope are priced, and what happens if materials cost more. The editor puts them under the totals.

From approved quote to invoice

When the client accepts, keep the quote as a draft for your records, switch the document type to Invoice and download the invoice. The items and client stay, the number moves to the invoice series (INV-) and a due date replaces the valid-until date.

Frequently asked questions

How long should a quote be valid?

It is your choice. The editor proposes 30 days after the issue date, and you can change it. Shorter periods suit prices that move quickly, such as materials.

Is a quote the same as an invoice?

No. A quote proposes a price before the work; an invoice asks for payment for work or goods already agreed or delivered. On this site both are made in the same editor, so a quote can become an invoice without retyping.

Does Invoices.tools tell me which tax rate to charge?

No. The site never fills in or suggests a rate. You type the name of the tax and the percentage your business uses, and the site does the arithmetic. If you are not sure what to charge or what your invoices must show, ask an accountant or your tax office.

Where is my data stored?

Only in your browser. The document on screen and the drafts you save are kept in this browser’s local storage, and the PDF is drawn on your device. Nothing is uploaded, and you can clear everything from the Drafts panel.

Is it really free? Is there a watermark?

Yes, it is free, with no account, no watermark and no limit on the number of documents. The site may show ads around the editor, never on the document.
