Notes and terms

Using this template

01

Separate session time from deliverables and usage rights

Clients and corporate finance teams want to see shoot time separated from post-production and licensing. Put shoot hours or day rates as one line, photo editing and retouched selects as another, and commercial usage or print licenses on their own line so image rights are clear.

02

Retainers, deposits and delivery milestones

When booking a shoot, state the retainer or booking deposit under payment terms or record it under “Amount already paid”. Specify when edited high-resolution galleries or prints will be delivered once final payment is cleared.

Frequently asked questions

How should a photographer list image licensing on an invoice?

Add image rights as a separate line with a clear description, such as commercial digital rights, print release or duration of usage. This keeps licensing distinct from production hours.

Can I ask for a deposit on a photography invoice?

Yes. Use “Payment plan” to set a deposit and balance, or enter an upfront retainer under “Amount already paid” so the invoice shows the total, the deposit paid and the remaining balance due.

Where is my data stored?

Only in your browser. The document on screen, the drafts you save, your saved clients and items, and the list of invoices you downloaded are kept in this browser’s local storage, and the PDF is drawn on your device. Nothing is uploaded, and you can clear everything from the Drafts panel.

Is it really free? Is there a watermark?

Yes, it is free, with no account, no watermark and no limit on the number of documents. The site may show ads around the editor, never on the document.
